This policy explains what personal information Jane's Mandarin Tutor Studio collects, why, and what your rights are. The studio is run by Jane, a self-employed Mandarin teacher based in Kent, who is the data controller. Contact: Jane007london@gmail.com or 07356 027989. ICO registration number: ZC264888.
What I collect

The “Questions?” box on this website shows fixed answers written by Jane. It is not live chat and does not use AI or a third-party chat service. Messages left in it are handled in the same way as the contact form (see below) and answered by Jane by email, usually within two working days.
Children
This studio is for parents and adult learners only. Students under 18 must get in touch through a parent or guardian, and I do not take enquiries, bookings or messages directly from children. For learners under 18, a parent or guardian makes the booking and provides any information about the child. I collect only what is needed to teach, and I follow school safeguarding practice. Lessons are not recorded without written consent from the parent or guardian.
Who helps me run the studio
I use trusted service providers who process data on my behalf and only on my instructions:
- Netlify: hosts this website and receives the review form
- Cal.com: lesson booking and reminders
- Stripe: card payments
- Google: email (Gmail), the fonts used on this website, and Google Apps Script and Google Sheets, which receive messages from the contact form and the “Questions?” box
- Cal Video (part of Cal.com): online lessons
Some of these providers store data outside the UK, including in the USA. Where this happens, transfers are protected by the safeguards UK data protection law requires, such as the UK International Data Transfer Addendum or the UK–US data bridge. I never sell your information or use it for advertising.
How messages are handled
When you send a message through the contact form or the “Questions?” box, a small Google Apps Script program run from Jane’s Google account saves it in a private Google Sheet that only she can open. It then emails a notification from her Gmail account to her own inbox, with your email address set as the reply address. Your address is not added to any mailing list and no automatic email is sent to you. Messages are not filtered by content: every message with a valid email address is saved. To stop floods of automated messages, a one-way code made from your email address is kept for up to 10 minutes to count how many messages it has sent; it cannot be turned back into your address.
How long I keep it
- Questions and messages that do not lead to lessons: up to 12 months. Saved messages older than 12 months are deleted automatically each month, and Jane deletes the matching notification emails from Gmail each month
- Lesson notes and progress reports: up to 12 months after lessons end, unless you ask me to delete them sooner
- Booking and payment records: 6 years, as required for HMRC tax records
- Reviews: until you ask me to remove them
Cookies
This website does not use advertising or tracking cookies. Booking and payment pages run by Cal.com and Stripe may set cookies needed for those services to work.
Your rights
You can ask to see, correct or delete your information, ask me to limit or stop using it, ask for a copy to take elsewhere, and withdraw consent for your review at any time. Email Jane007london@gmail.com and I will reply within one month.
If you are unhappy with how your information is handled, please contact me first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
